Keeping the front of house presentable and running smoothly is a fundamental part of any business and is essential to success. In business the first impression is crucial and this usually begins at the reception desk. Everyone in this position should have the following skills:

Communication is key

Usually the first face a new client or potential staff member will meet is the receptionist. With this in mind it is plausible to assume that a client is already deciding to work with you or not based on the welcome they receive and the attitude by which it is presented. This can also work both ways as most management staff will ask receptions opinion of the client based on that introduction. This information is vital to any business owner in order to create healthy working relationships. The meeting/interview starts the minute you are in the door.

Time Management

Let’s face it; receptionists have more tasks than hours in the day. An ability to priorities, use initiative and time management is paramount to being an excellent member of staff and detrimental to keeping daily business running smoothly. This means the ability to multitask and a cool head under pressure are a must.

Technical skills

In today’s office environment there is no escaping technology, the office receptionist needs to be well aware of phone systems, printers and copiers. Word processing skills are now essential. With many tasks and job descriptions increasing in size it is so important that reception staff keep up to speed with technology in order to remain productive in an ever changing work environment.

Organised

In the majority of workplaces the front desk is usually the cleanest and most organised. It has to be this way as an untidy area will give the wrong impression to people who are just in the door and can be a very serious breach of security. An organised staff member won’t leave customer information out in the open for anyone on the street to walk in and potential see but they will be so organised that at a moment’s notice they can present it on request when staff require it.

Reliable

A dependable receptionist will be at their desk on time, will not leave a client waiting and will do their upmost to answer every call and query that comes in. Nothing will get past them and that’s a sign of someone who is brilliant at what they do and are at a successful company.

If your team has a receptionist with these skills and traits then it is probably a big reason as to why the company is so successful and why the team are so organised.
